Create an email signature and add a profile QR code

Build a Tapt signature template, choose individual setup or central deployment, and test the profile link or QR code.

Create an email-signature template in the Tapt Dashboard, then choose individual setup or central deployment for your organisation. The signature can use profile details and include a QR code linking to that person's Tapt profile.

Configure the signature template

  1. Open Templates and edit the template you want to use.

  2. Open Email Signature.

  3. Turn the available information fields on or off.

  4. Turn on QR code if you want recipients to scan it. Turn on Save Contact button if you want to include that action.

  5. Review the live preview, including the contact details and layout.

  6. Select Save changes.

Use the employee's Tapt profile details as the source for their signature. Check those details before distributing it.

Choose how to deploy signatures

You can send individual setup instructions or ask your administrator to manage signatures centrally.

  • Outlook: The Microsoft 365 integration automatically inserts the current Tapt signature when an eligible user starts a new online email. Ask your Tapt and Microsoft 365 administrators to follow Deploy Tapt email signatures for Outlook.

  • Google Workspace: Ask Tapt Support for the Google Workspace email-signature integration guide and to confirm the setup available to your organisation.

Central deployment requires administrator setup. Test it with a pilot group before rolling it out to staff.

Send individual setup instructions

  1. Open Profiles.

  2. Select the profiles that should receive the signature.

  3. Open the selected profiles' 3-dot action menu.

  4. Select Share email signatures.

For one person, open their profile's Other menu and select Share email signature.

Staff receive an email with a setup link and instructions for their email provider. Sending the instructions does not confirm that the signature has been installed in the employee's email app.

Apply and test an individually installed signature

  1. Open your individual setup email.

  2. Follow the instructions for the email app you use.

  3. Start a new message and check the signature.

  4. Send a test message to an internal recipient.

  5. Check the received layout, open its links and scan its QR code from another phone.

The code should open your intended profile. If you enabled Save Contact button, test that action too.

Update details or branding

For individually installed signatures, correct the profile details or template, then send the updated setup instructions and test again.

Do not assume that an existing signature copied into an email app updates when the Tapt template changes. Follow the setup instructions for the deployment method your organisation uses.

For centrally deployed Outlook signatures, test with a new online email after updating the profile or template. The integration does not update existing drafts or sent messages.
